Fill in a Word or Google Docs invoice template
Each Word file and Google Doc is the template’s blank form as an editable document: the same labels, job details and colors as its PDF, with bracketed spaces such as [Customer name] to type over.
Download the template for your work
Pick the template for your trade, or the blank invoice for any business. Download the Word file for Microsoft Word, Pages or LibreOffice, or press Make a copy in Google Docs to get your own copy in your Google Drive.
Type over the bracketed spaces
Replace each bracketed space with your details, add a row to the line items table for each item, and delete the rows you do not need. Keep the file as your own template for the next invoice.
Work out the totals, then save a PDF
Word and Google Docs do not add up the amounts: enter each line amount, the subtotal, any tax and the balance due yourself, or fill the same template in online, where every total is worked out to the cent. Save or export the finished invoice as a PDF before you send it.
Word or the online editor
The Word files and the online editor make the same invoices. Which suits you depends on how you work.
You keep your invoices in Word
What to change
Save the downloaded file as your own template, with your business details filled in, and copy it for each new invoice.
Before you use it
Change the invoice number every time, and check every total by hand.
You want the totals worked out
What to change
Open the template’s page and edit its example online: lines, discount, tax and payments received add up as you type, and the PDF downloads in the same design.
Before you use it
The online editor keeps only your latest invoice, on your device.
Your customer asks for a Word file
What to change
Fill in the Word template and send it, or send the PDF and keep the Word file for your records.
Before you use it
A PDF cannot be changed by accident; a Word file can, so send the PDF when you can.
Check the invoice before you send it
- Every bracketed space is replaced or deleted.
- The invoice number has not been used on another invoice.
- Each line amount is quantity × rate, and the totals add up.
- The balance due takes off any deposit already received.
- The payment terms and payment instructions are filled in.

Useful answers
Is there a free invoice template for Word?
Yes. Eight: a blank invoice for any business and one for each of cleaning, contractor, landscaping, electrician, hourly, web design and retainer work, as .docx files with no account.
Do these templates add up the totals?
No. Word and Google Docs do not add up the amounts in these templates, so enter each total yourself. To have every total worked out to the cent, fill the same template in online and download it as a PDF.
Is there a free invoice template for Google Docs?
Yes, all eight. Press Make a copy in Google Docs and Google saves your own copy in your Drive, signed in to your Google account; the template itself stays as it is. The Word files also open in Pages and LibreOffice.
What paper size are the Word templates?
US Letter, in Word and in Google Docs. To print on A4 from Word, choose A4 in Word’s Layout settings and set the left and right margins to 1.4 cm, so the tables, 7.1 inches wide, stay inside them.
Can I add my logo to a Word invoice template?
Yes. Replace [Your logo] with your logo picture: in Word, choose Insert, then Pictures; in Google Docs, choose Insert, then Image.
Is a Word invoice as good as a PDF?
For sending, a PDF is better: it looks the same on every device and cannot be changed by accident. Fill in the Word file, then save it as a PDF to send.
Do the Word files have macros or links?
No. They hold only text, tables, colors and lines, with no macros, fields, links or pictures.
Which Word template should I use?
The one for how you bill: cleaning for visits, contractor for labor and materials with deposits, landscaping for visits or a monthly plan, electrician for labor, parts and permits, hourly for time by date, web design for project fees and milestones, retainer for a monthly fee. For anything else, the blank invoice.
